Sage Financials 'Start Up' Pack - Description

 

A.    KICK OFF CALL AND BPR

Call to explain the process, review their business and show how to fill out the templates.

 

B.    DATA TEMPLATE FINAL CONSULTATION (OPTIONAL)

One optional 30-minute call to ask questions on how to fill out the templates if the need arises.

 

C.    3 HOURS PROJECT MANAGEMENT

Internal time allocated to manage the project, this includes admin, responding to emails, reviewing data, calls, etc.

 

1.  STANDARD USER SETUP Create the users included in the template file. Assign Sage Live Licences. Assign out of the box profiles and permission sets.

2. COMPANY Create up to 1 company included in the template file. 1 legislation included.

3. BANK ACCOUNTS Creation of the bank account tags and the bank accounts. Bank CSV feed setup.

4. CHART OF ACCOUNTS Review ledger accounts included in the template file. Create Accounts and Sub Accounts. Import new ledger accounts to Sage COA.

5. ACCOUNTS AND CONTACTS Create Accounts and Contacts included in the template file. Assign accounts with a Type of either Customer or Supplier/Vendor. Update the Account filters on Transactions. Custom fields not included. Create Dimension tags for Customers and Suppliers.

6. PRODUCTS Create Products and associated Product tags included in the template file. Assign tag ledger accounts to each Product tag.

7. DIMENSION AND TAGS Create the Dimension and tags included in the template file. Configure Dimensions on out of the box Transactions and Journals. Create Ledger Account Dimension and tags and assign to appropriate Journals. Configure posting rules on appropriate journals/transactions to enable.

8. LEDGER ANALYSIS Create a Class-based Ledger Analysis for both the Balance Sheet and Profit and Loss, which is used to generate Financial and other more complex reports.

9. REPORTS AND DASHBOARDS (OUT OF THE BOX) Test the Out of the Box reports and dashboards to ensure they are working as expected, and update as needed.

Full list of Reports includes:

  • Customer: AR - Aged Debt (74.0), AR Retrospective Aged Debt (78), Statements, Desktop Customers & Vendors Dashboard (74.0).
  • Supplier: AP - Aged Debt (74.0), AP Retrospective Aged Debt (78).
  • Financial Reports: Profit and Loss, Balance Sheet, Trial Balance.
  • VAT: UK VAT Return: Submitted Ledger Entries, UK Vat Return.
  • Other Reports: Desktop Company Dashboard.

10. OPEN BALANCES AND OPEN TRANSACTIONS Import Trial Balance for company in the base currency. Import the open items (Invoices and Credit Notes) in support of the AR and AP balances.

11. VAT ENABLE Enable the usage of VAT return (UK only).

12. UAT OF TRANSACTIONS/JOURNALS Testing of Journals/Transactions to see if they post, editing if necessary. Testing of Customer Dimension requirements. Reset of org.

Configure and test out of the box Journals/Transactions to ensure they are successfully posting as normal and prompting for Dimensions and Tags.

  • Customer: Sales Invoice, Customer Receipt, Customer Refund, Sales Credit.
  • Suppliers: Purchase Invoice, Purchase Credit, Supplier Payment, Supplier Refund, Simple Purchases.
  • Bank: Bank Receipt, Bank Payment.
  • Other Transactions: Travel Expenses.

13. PRODUCT WALK-THROUGH Review configurations completed in the Org in accordance with the data included in the template file. Handover to Sage.

When implementation begins, data templates cannot be changed/updated.

A.    KICK OFF CALL AND BPR

This 1-hour call to is to outline project, capture data requirements and advice on Veltig data templates. Veltig Data Templates must be populated in given format. Failure to do so in a timely format can impact Go Live date. This does not include Trial Balances and Opening Balances they will be done thereafter.

 

B.    DATA TEMPLATE FINAL CONSULTATION (OPTIONAL)

Only if the customer has watched read the guide and tried to fill out the template.

 

C.    3 HOURS PROJECT MANAGEMENT

3 Hours Project Management is factored in to manage the project; this includes administration, responding to emails, reviewing data, calls, etc.

 

1. STANDARD USER SETUP Create the users included in the template file. Assign Sage Live Licences. Assign out of the box profiles and permission sets. No roles assigned. No security setup.

2. COMPANY 1 Company Included, 1 legislation included.

3. BANK ACCOUNTS Creation of the bank account tags and the bank accounts that sit on these. This also only includes the csv feed setup, no Yodlee configuration. This does not include any configuration of Bank Reconciliation, the types, posting rules or the associated configurations surrounding it.

4. CHART OF ACCOUNTS Standard Chart of Accounts will be deployed, Veltig will share what is the standard Chart of Accounts. This cannot be reconfigured/changed. Veltig will adhere to creating necessary Accounts and Subaccounts if needed.

5. ACCOUNTS AND CONTACTS We will only create what has been provided, we will not export from existing salesforce user’s orgs. For existing Salesforce users, we will only apply the Customer/Vendor Types if Types are not already in use. If they are its the customers responsibility to edit and align to Sage financials’ requirements.

6. PRODUCTS We will create what has been provided by the customer, we will not export from an existing salesforce org, Products are for the sales side only. 

7. DIMENSION AND TAGS Based on what’s provided by customer.

8. LEDGER ANALYSIS Standard format, Class based no custom work. Balance Sheet and Profit & Loss, Reconfigure to class.

9. REPORTS AND DASHBOARDS (OUT OF THE BOX) Test the Out of the Box reports and dashboards to ensure they are working as expected, and update as needed.

Only items that support the balance of the AR and AP are to be imported. No payments on account. No historical data in support of the AR and AP, excludes the allocation of Payments/credit notes/memos against invoices.

11. VAT ENABLE Enable the usage of VAT return (UK only).

12. UAT OF TRANSACTIONS/JOURNALS Testing of journals to see if they post, editing if necessary. Testing of Customer dimension requirements. Reset of org.
